Executive Assistant
Responsibilities
  • Answer phone calls from potential new clients when client POC is unavailable.
  • Creates a to do list for the POC that includes information on new clients to follow up on, market analysis, and contracts.
  • Maintains POC appointment schedule by planning and scheduling meetings, conferences and travel.
  • Ensures documents are undergoing quality check before sending to the offline team.
  • Following up via phone call and/or email on vendors, new clients to obtain additional information as needed.
  • Utilizing resources such as CRM, LeadSimple, Zendesk by targeting minimal to zero overdue tasks.
  • Updates the knowledge bank/training manual to optimize retention and expertise.
  • Provides historical reference by developing a file and retrieve system and recording meeting discussions.
  • Create and manage reports on total count of new client acquired and lost.
  • When necessary, should be able to sell our services to new clients by highlighting WIIFMs.
  • Collaborates with other team members to get the necessary information to complete a task.
  • Setting priorities based on importance and urgency.
  • Genuine willingness to go the extra mile and provide exemplar customer service.
  • Proactive in ensuring work is completed on time sensitive items by extending an hour or two if the need arise.
Qualifications
  • Communicates effectively with others in figuring out solutions to complex problem.
  • Analyze information by breaking down ideas and asking insightful questions.
  • Organized process improvements/recommendations and presented to clients/superiors.
  • Min of 2 years experience in taking phone calls both Inbound and Outbound (Cust Service, Tech, Sales, Collections, or any types of campaign)
  • Devised a system/routine to ensure tasks are being met in a timely manner.
  • Impeccable attention to detail by asking more questions or reviewing items before answering.
  • Multi task using five ( 5 ) or more tools.
  • Likeable personality, knows how to use persuasion and build rapport.

Screening Criteria:

  • MUST HAVE STABLE EMPLOYMENT HISTORY.
  • Min of 2 years experience in taking phone calls both Inbound and Outbound (Cust Service, Tech, Sales, Collections, or any types of campaign)
  • Minimum of two (2) years in people management or position that requires handling a team.
